Description

The Medical Liaison serves as a key support to the nursing and clinical and residential teams by coordinating medical care logistics, managing documentation in the electronic health record (Quick MAR and Credible), facilitating communication between internal departments and external providers, and ensuring timely execution of medication and healthcare-related appointments/procedures for youth in care. This position also supports family teachers and administrative staff with medication tracking, appointment coordination, recordkeeping, and communication with providers.

Responsibilities

  • Assist in scheduling and coordinating medical, dental, vision, and specialist appointments.
  • Enter and update medical records, including medication data, in systems such as Credible and QuickMAR.
  • Coordinate psychiatric medication management reviews and facilitate medication changes ordered by providers.
  • Process medications received from SafeDose and monitor for inventory needs and expiration dates.
  • Schedule and coordinate medication management appointments and psychiatric evaluations.
  • Monitor and maintain accurate counts of all prescription and PRN medications in QuickMAR.
  • Communicate proactively with SafeDose regarding medication needs, refills, and delivery.
  • Review and track pain assessment forms and ensure protocol compliance.
  • Input lab results from medical providers into the medical record system and notify appropriate staff.
  • Maintain up-to-date allergy records and update as needed.
  • Coordinate medication disposal procedures according to agency protocols.
  • Assist with training Family Teachers on medication protocols, as directed by the Nurse Care Manager.
  • Create, maintain, and organize files, medical correspondence, and universal precaution kits.
  • Assist in obtaining and sending medical records to external providers as needed.
  • Support intake medication check-in procedures and inventory management.

Communication & Collaboration

  • Serve as a liaison between IUMCH and external providers, including medical, dental, and psychiatric professionals.
  • Communicate medical updates to Family Teachers, supervisors, clinicians, and administration.
  • Participate in daily morning meetings and interdisciplinary treatment team meetings.

Additional Duties

  • Support implementation of medical procedures and process improvements under clinical leadership.
  • Prepare and restock Universal Precaution Kits across the facility.
  • Log and coordinate medical disposals with designated staff per agency procedure.
  • Perform other duties as assigned.

Qualifications

Qualifications

  • High school diploma or equivalent required; Associate’s degree preferred.
  • CNA or CMA certification preferred.
  • Minimum age 21 with valid driver’s license and insurable by IUMCH.
  • Experience in medical, behavioral health, or residential setting strongly preferred.
  • Proficiency in Microsoft Office Suite and EHR systems (e.g., Credible, QuickMAR).
  • Must pass a drug screen and background check.
