Fast-growing AI startup at the intersection of healthcare and finance is looking for an Executive Assistant to support the Founder & CEO. This is an incredible opportunity to join a team that has raised its Seed and Series A all in a matter of months, with plans to scale from 17 to 45+ people in Q1. In this role, you'll be the right hand to a Founder who's moving fast and thinking big. You'll manage the CEO's complex calendar and priorities, ensuring he stays focused on high-impact goals while balancing personal and professional commitments. You'll prepare meeting agendas, coordinate All Hands presentations, sit in on executive meetings to capture notes and action items, and help set company OKRs. You'll also plan high-stakes logistics for events like investor dinners, coordinate across internal leadership and external stakeholders, implement organizational processes, and serve as the CEO's eyes and ears, keeping a pulse on the team. Someone with strong organizational skills and the ability to prioritize in a high-velocity setting who is proactive and anticipatory with excellent judgment. Previous experience supporting leadership at a high-growth startup and the ability to thrive in ambiguity are a must. This is a mostly in-office role based in Union Square in NY, with Fridays' work from home. 170-200K+ DOE + benefits, equity, unlimited PTO, and daily meals provided.

Responsibilities:
  • Partner with the CEO to prioritize quarterly and monthly goals, keeping on track to achieve key milestones.
  • Manage a complex, fast-moving calendar that blends professional and personal commitments, optimizing for the CEO's energy and effectiveness. Anticipate scheduling needs and proactively coordinate meetings with investors, customers, candidates, and the leadership team across multiple time zones.
  • Prepare comprehensive meeting agendas and briefing materials to ensure the CEO is fully prepared for high-stakes conversations. Attend executive meetings to capture detailed notes, track action items, and ensure consistent follow-through across the organization.
  • Support the development and tracking of company OKRs, helping translate strategic priorities into actionable plans.
  • Plan and execute high-profile events such as investor dinners, customer gatherings, and leadership off-sites—managing everything from venue selection and speaker coordination to hotel bookings and attendee logistics.
  • Coordinate logistics for key conferences, including scheduling meetings with other industry leaders, healthcare executives, and investors.
  • Organize weekly team dinners and monthly company events that foster culture and connection across the growing team.
  • Implement and maintain organizational systems for critical documents and processes.
  • Establish cadences for recurring stakeholder meetings and ensure standing touchpoints are consistently maintained.
  • Over time, manage the CEO's inbox with discretion, triaging sensitive information.
  • Act as the CEO's eyes and ears on the ground, staying attuned to team dynamics, morale, and important milestones. Help maintain a positive, mission-driven culture as the company scales rapidly.
  • Provide holistic support that bridges professional and personal needs—booking personal appointments, ensuring the CEO makes important family commitments, and occasionally coordinating personal travel. Optimize the CEO's schedule to balance work demands with personal well-being and family time.
Qualifications:
  • 3-5+ years of previous experience as an Executive Assistant, ideally supporting founders or C-level executives in a fast-paced startup environment.
  • Strong organizational and prioritization skills with the ability to manage competing demands and make sound judgment calls.
  • Proactive, anticipatory mindset. You naturally think several steps ahead and catch things before they slip through the cracks.
  • Excellent written and verbal communication skills with a polished, professional presence.
  • High EQ and the ability to read people and situations, serving as a trusted partner to the CEO.
  • Comfortable operating in ambiguous, high-growth environments where processes are still being built.
  • Discretion and integrity when handling sensitive information.
  • Positive, low-ego attitude with a collaborative, team-first approach.
  • Flexible and able to accommodate time-sensitive priorities that may arise beyond standard working hours.
