Clinical Support Specialist - Care & Comfort

Big Bend Hospice (BBH) is your “Hometown Hospice” providing compassionate end-of-life care for over 40 years to the Big Bend region. Guided by our values of integrity, respect, and excellence, we are seeking an experienced Clinical Support Specialist to join our Care and Comfort team.

 

The ideal candidate for the Clinical Support Specialist position for the Care and Comfort team in Tallahassee, FL is highly organized, detail-oriented, and proficient in Microsoft Word, Excel, Teams. They demonstrate the ability to accurately prepare and manage documents in a timely manner while independently learning new systems as needed. This individual communicates professionally, answers phones courteously, and maintains open, effective communication with supervisors. They prioritize multiple tasks, support clinical leadership, manage supplies and documentation, maintain an orderly and accessible filing system, and assist in a wide range of administrative duties including scheduling, policy updates, and post-discharge processes.

 

Position Duties and Responsibilities:  
The Clinical Support Specialist responsibilities will include, but are not limited to the following: 

 

  • Demonstrates computer knowledge (Word, Excel, Teams) and the ability to provide computer documents accurately and in a timely and organized manner. Independently learns new programs as needed to provide information.  Reviews, prepares material, prioritizes multiple tasks directly for the Clinical Director and as requested by others.
  • Answers telephone courteously, professionally, and positively.
  • Maintains open communications with supervisor and brings important concerns or information to the attention of the supervisor. Uses good, effective judgment in determining independent solutions and consistently keeps supervisor informed.
  • Maintains effective and easily accessible filing system.
  • Maintains an orderly work environment.
  • Orders and maintains supplies of all clinical forms. Assists in any revisions and the preparation of new forms.
  • Verifies packing slips Medical Supplies against invoices and approves for payment. Participates in the medical supply inventory each year. Order clinical supplies to keep stock from getting low.
  • Checks incoming faxes and distributes them; discards previous week’s acknowledgements.
  • Is the back-up person for pulling charts from Medical Records.
  • Maintains updated BBH Directory and Directions.
  • Assists in scheduling FSC & TCC Nursing Student visits.
  • Keeps face sheets current as advised of changes by staff.
  • Facilitates equipment pick-up when death event occurs.
  • Completes death/discharge checklist as related to patient death, discharge, or transfer status.
  • assist with chart audits
  • assists with Hospice aide assignments and audits of their care plans etc. 
  • Assists with morning messages as needed or as established by team manager.
  • Other duties as assigned.

 

Work Schedule:  

 

Monday – Friday 8:00am – 5:00pm .

This position may require holidays. On-site position in Tallahassee, Florida. 

Skills & Qualifications

Education & Experience:

  • High School Diploma is required.
  • Minimum of 3 years of administrative experience.
  • Must have some experience in office management in a healthcare setting.
  • Pharmacy related experience a plus.

  • Thorough knowledge of employment-related laws and regulations.
  • Proficient with Microsoft Office Suite or related software.
  • Proficiency with or the ability to quickly learn the organization’s HRIS and talent management systems.
  • Experience with medical supplies, records, and terminology.

 

Requirements: 

  • Valid driver’s license, auto insurance, and reliable transportation.
