Requirements:
You should have:
- Bachelor’s degree in business administration, Management, Commerce, Social Sciences, or a related discipline
- minimum 2-3 years of experience in secretarial, executive assistance, or administrative support
- experience in an academic, healthcare, research, or higher education environment will be preferred
- experience in coordinating meetings, travel, and event logistics
- strong organizational and time management skills
- excellent written and verbal communication skills
- ability to prioritize multiple assignments and meet deadlines
- strong interpersonal skills with the ability to work with diverse stakeholders
- high level of confidentiality and professionalism
- proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Teams)
- ability to prepare correspondence, reports, minutes, and presentations
- strong coordination and problem-solving skills
- ability to work independently with minimal supervision.

Responsibilities:
You will be responsible to:
- provide comprehensive secretarial and administrative support to assigned faculty members, ensuring the efficient day-to-day functioning of the office
- manage faculty calendars, schedule appointments, meetings, and conferences, and coordinate changes as required
- arrange and coordinate departmental meetings, prepare agendas, record minutes, and ensure timely follow-up on action items
- draft, review, and manage official correspondence, reports, presentations, meeting materials, and other administrative documents
- coordinate travel arrangements, including flight bookings, accommodation, transportation, visa documentation, and travel reimbursements in accordance with institutional policies
- serve as the primary point of contact for faculty members by coordinating communication with internal departments, external stakeholders, collaborators, students, and visitors
- facilitate logistical arrangements for departmental events, workshops, seminars, conferences, and faculty visits, ensuring smooth execution
- maintain confidential files, records, databases, and official documentation in an organized and secure manner
- perform any other duties assigned by the supervisor in support of departmental, academic, research, and institutional objectives.
