General Purpose: The purposes of this position are to plan, direct, coordinate, and supervise all functions of the business office department.  This individual works closely with staff, providers, facility directors, the Staff Accountant and the CEO to ensure that NCH complies with local, state, and federal regulations.  The Business Office Supervisor also works to align policies and goals with those of the larger facility of Niobrara Community Hospital.
 
Essential Duties/Responsibilities: The Business Office Supervisor is first and foremost responsible for ensuring efficient and effective operation billing/revenue cycle.  This individual should establish and implement policies, objectives, and procedures for the department.  Maintains and manages daily operations of the office by coordinating work schedules, hour and duty assignments, and staff schedules (including providers) with scheduled time off.  The Business Office Supervisor is responsible for developing budgets, with recommendations for equipment outlays, staff education, and compliance costs.  This includes maximizing opportunities to meet and exceed budget guidelines. Participation in hiring, training, supervision, and evaluating personnel and their work.  This person should coordinate and maintain relationships with all affiliated third party payers including the clearinghouse company that is used by NCH, the collections company, and CMS as well as any major insurance companies.  The Business Office Supervisor should be able to prioritize daily departmental workflow and ensure accurate interpretation, timely posting, and reconciliation of the business office accounts.  Maintaining department supplies and office equipment.  Appropriate and timely management of all aspects of A/R.  Should be able to work with the billing specialist and coder to ensure appropriate billing.  Analyzes, prepares, and presents monthly or weekly reports as requested by the CEO.  This person should understand and comply with all applicable laws, rules, regulations, policies, and procedures. The Business Office Supervisor should also maintain professional affiliations and enhance professional development to keep pace with healthcare trends.
 
Other Duties/Responsibilities: In addition to those essential duties the Business Office Supervisor is responsible for coordinating activities with other managers, administrative staff, and physicians.  Reporting on department outcomes and working with the Director of Nursing on Quality Initiatives and benchmark reporting.  Prepares and updates job descriptions, expectations, performance appraisals and protocols on an annual basis. Performs other duties as assigned by the CEO.  Identifies organization problems and opportunities for improvement and brings solutions and suggestions to the CEO’s attention.
 
Supervisory Duties: This holds no supervisory responsibilities.
 
Knowledge, Skills, and Ability:
Must be able to read, write, and understand English.  Should be proficient in word processing, excel, and use of computer/data systems.  Knowledge of outpatient and inpatient documentation practices and information handling preferred. Knowledge of revenue/billing cycle and charge capture is preferred.  The ability to work with the public, fellow staff, and providers.  Knowledge of medical terminology helpful. Knowledge of the various intermediary requirements for billing. Ability to organize and prioritize tasks.
 
Education or Formal Training:
Minimum education: High School Diploma or GED
Associate’s degree in business or health technologies preferred.
Management or business certifications.
 
Experience:
3-5 years working in a Healthcare business or clinic office.  Supervisory experience in the healthcare setting preferred.1 year management experience required.
 
Working Environment:
Working in a health care setting creates a unique work environment of both confidentiality and hospitality.  The addition of an Extended Care Facility to the organization creates of a level of expectation for the behavior of employees when interacting with the residents on a daily basis.  Maintaining a good attendance record and observing the personal appearance policy are important.  This individual should be aware that the values at NCH of patient-centered care and quality and safety are always a priority.  It is important to acknowledge that mistakes may be made.  These mistakes may include missed collections, incorrect insurance on file, improper coding which leads to denials.  An effort to follow appropriate policies and procedures will help mitigate the number of mistakes that are made.
 
Physical Activities:
The Business Office Director will spend approximately 85% of his or her day at a desk or work station. The other 15% will be spent standing, walking, kneeling, or bending over. The ability to reach overhead is also important If accommodation due to allergies, skin sensitivity or some other physical impairment is needed it is important to discuss this with the supervisor in a timely manner.
