About the Role:
We are seeking a Healthcare Customer Service with previous experience in administrative coordination, health services operations, home-care scheduling, or patient/caregiver support. The ideal candidate has managed schedules, coordinated caregivers or operational staff, communicated with families, and handled documentation and service follow-up with strong organizational and communication skills.
This role ensures day-to-day operational continuity, client satisfaction, and service quality.
Responsibilities:
Operational Coordination
- Manage and build caregiver schedules, ensuring full coverage, replacements, and shift confirmations.
- Monitor attendance, handle last-minute changes, and reassign caregivers when needed.
- Maintain ongoing communication with the field staff and ensure service continuity.
- Track performance, follow-up tasks, and service delivery across assigned cases.
Client & Family Communication
- Communicate schedule updates, service adjustments, and all relevant information clearly and empathetically to families and clients.
- Address inquiries, concerns, incidents, and service requests, providing fast and client-centered solutions.
Administrative & Documentation Management
- Maintain accurate patient records, service contracts, timesheets, and operational reports.
- Keep caregiver documentation updated (background checks, CPR, compliance records, IDs, certifications, etc.).
- Support billing tasks, invoicing follow-up, and administrative procedures tied to active cases.
Operational Monitoring & Quality Control
- Prepare weekly reports summarizing scheduling, client satisfaction, active cases, and incidents.
- Support internal compliance checks, audits, and quality assurance processes.
- Ensure adherence to operational standards, protocols, and service procedures.
Required Experience & Must-Haves (Non-Negotiables):
- 1β3 years of experience in roles such as: Care Coordinator / Home Care Coordinator, Patient Coordinator / Patient Services, Administrative Assistant in Health Services , Operations Assistant / Operations Specialist.
- Experience coordinating operational staff (caregivers, nursing assistants, companions, or similar).
- Advanced English level.
- Experience managing schedules, documentation, and client communication.
- Ability to manage multiple cases and priorities in a fast-paced environment.
- Exceptional organizational skills and ability to handle high task volume.
- Strong communication skills with empathy toward families, clients, and caregivers.
- Problem-solving and decision-making abilities.
- Proficiency with digital tools: Google Workspace, CRM tools, scheduling platforms.
- High attention to detail, reliability, and follow-through.
