Position Summary:
The Clinical Support Liaison ensures seamless coordination among providers, patients, pharmacy staff, and external stakeholders. This role combines real-time medication oversight, compliance monitoring, case coordination, and operational auditing to support patient access to specialty medications. It plays a key part in improving pharmacy workflows and ensuring timely, compliant delivery of care across multiple departments.

Key Responsibilities:
1. Medication Management & Compliance
- Support pharmacy-led initiatives including medication inventory walkthroughs and departmental reviews.
- Perform monthly crash cart audits across departments (Pain Management, Urgent Care, Med Psych, Anesthesia) and update logs accordingly.
- Ensure accurate documentation and compliance with regulatory standards related to medication storage and emergency preparedness (e.g., Broselow Box).
- Utilize "Medication Storage Area Inspection" tools for walkthroughs and compliance checks.
2. Medication Access & Case Coordination
- Serve as the primary liaison between the pharmacy, providers, clinical staff, and external specialty pharmacies.
- Ensure prescriptions are processed promptly, routed, and tracked to prevent delays in therapy.
- Coordinate medication delivery through internal systems and specialty pharmacy partners.
- Assist patients with copay processing, enrollment in manufacturer assistance programs, and free drug initiatives.
- Escalate urgent issues related to prescription fulfillment, coverage, or delays.
3. Pharmacy Communication & Coordination
- Monitor and manage all communications related to medication workflows, including shipment status and order resolution.
- Maintain organized logs of pharmacy communication, prescription status, and issue tracking.
- Collaborate with all Clinical Support Liaisons (CSLs) to align operations and ensure timely medication access.
4. Prior Authorization (PA) Management
- Submit and manage PAs using CoverMyMeds, PromptPA, Availity, CHAMPS, or fax.
- Conduct insurance verification, prepare supporting documents, and handle appeals or renewals.
- Communicate PA approvals to patients and coordinate next steps with appropriate team members.
5. Telehealth & Appointment Coordination
- Schedule and support virtual appointments with patients.
- Provide patients with technical assistance and guidance for telehealth visits.
6. Patient Communication
- Provide consistent updates to patients on medication status, insurance issues, or delivery logistics via phone, text, or secure messaging platforms.
- Route unresolved concerns to appropriate clinical personnel for resolution.
7. Tracker & Audit Management
- Maintain real-time updates across all trackers for specialty medication management.
- Conduct regular audits of trackers, schedules, and patient lists to ensure alignment with refill schedules, PA renewals, and ongoing care plans.
- Address discrepancies to support continuous case progress.
8. Provider Support
- Maintain task lists and help manage priorities across multiple provider workflows.
- Monitor FedEx tracking for time-sensitive medication shipments and follow up as needed.
Qualifications:
- Ability to demonstrate authorization to work in the U.S. for any employer.
- 2+ years of experience in pharmacy support, case management, or clinical operations.
- Strong background in insurance verification, prior authorization, and specialty medication workflows.
- Proficiency in tracking tools, pharmacy platforms, and secure messaging systems.
- Highly organized, detail-oriented, and able to manage multiple concurrent priorities.
- Excellent verbal and written communication skills.
- Ability to work independently in a fast-paced clinical environment.
Preferred Skills:
- Knowledge of Joint Commission compliance, emergency cart audits, and pharmacy storage practices.
- Familiarity with specialty drug distribution processes and patient assistance programs.
- Experience coordinating across multiple locations and provider teams.
- Understanding of telehealth platforms and virtual care procedures.
Work Environment:
- On-site role requiring physical presence in clinical settings for audits, walkthroughs, and coordination.
- Interdepartmental collaboration with pharmacy, nursing, and administrative teams.
