Job Description: Responsible for all administrative responsibilities associated with the Didactic Education service line and program self-assessment across the entire PA Program.

Essential Functions:
Course management
- Manage course syllabi for template adherence and accuracy and notify directors of University-wide resource updates as needed.
- Course creation/ organization within Canvas (merge Canvas courses across campuses, monitor course organization and adherence to template for student view across the curriculum).
Evaluation Management
- Create, deploy, and organize all didactic year lecture surveys.
- Process and provide data to faculty; input data into course reports.
- Create a tracking system to monitor response rate-completion rates and deploy reminders.
Clinical Year Seminar Scheduling
- Manage facilitator schedule and availability.
- Organize Call Back Week schedules with student and faculty assignments.
- Create OSCE schedules and faculty assignments.
- Secure contracts with facilitators involved.
Credentials
- In conjunction with the Director of Clinical Education, oversee the process of ensuring Preceptor board certifications and licenses are current. This will entail running Exxat reports and communicating with staff members responsible for obtaining current licenses/board certifications.
Faculty Workload
- Calculate faculty workload for didactic and clinical lectures and labs and other miscellaneous responsibilities. Gather lecture/lab hours for core didactic and clinical year for faculty and guest lecturers.
- Ensures that all administrative documentation is uploaded to the student electronic file per the ARC-PA Standards requirements, including: Letters of Good Standing, Certificate of Insurance, Graduation completion checklist, Interventions
Didactic and Clinical
- Communicate clearance requirements to didactic and clinical phase students and ensure compliance. Assist with the flu shot clinic, coordinating with Student Health Services.
- In conjunction with the Director of Didactic Education, coordinate the delivery of student medical equipment; prepare and send list to the Office of Finance.
- Communicate with all guest lecturers to obtain Schedule A agreements, CVs, and completed W9 forms.
- In conjunction with the Director of Didactic Education, ensure that the lecture calendar is accurate,
- Oversees the completion of the Schedule As for guest lecturers, and exam proctors.
- Ensures that all guest lecturers are scheduled and confirmed for each lecture in all courses during the didactic phase of the program.
- Ensures that all guest lecturers receive standard instructions and communication as outlined by the Director of Didactic Education.
- On a weekly basis, ensure that all lectures have been delivered as scheduled prior to forwarding schedule A documents to Administrative Staff for payment processing.
- In conjunction with the Director of Didactic Education, develop and distribute advisee groups.
- Assists the Director of Didactic Education in maintaining the list of Graduate Assistants each year
- Manages onboarding of the Graduate Assistants and the timesheet approval.
- Serves as the first point of contact for Graduate Assistants and didactic year students to field questions relating to nonacademic issues.
- In conjunction with faculty and the Administrative Manager, maintain supplies/equipment PD, Clinical Skills Day, Call Back Weeks, and any other related course.
- Publish and maintain all Canvas Courses for Didactic Education Line.
- Publish and maintain all Google calendars for the Didactic Education Line.
- Proctor all exams during the Didactic phase of training as needed.
- In conjunction with faculty, schedule all educational activities associated with the formative OSCE.
- Ensure that space requirements/room reservations are completed for all activities.
- Create lab groups for Physical Diagnosis and assign them to facilitators.
- Register students for all courses taken during the didactic phase of the program.
- In conjunction with the Director of Clinical Education, ensures that all preceptor board certifications, licensure are up to date per ARC-PA Standards requirements and accurately recorded in PRISM.
- Create a schedule for CBWs under the direction of the CBW course directors.
GENERAL DEPARTMENTAL RESPONSIBILITIES:
- In addition to the specific duties outlined above, each staff member will be required to support all faculty by completing administrative tasks at their respective campus. These administrative tasks include but are not limited to, emailing, printing, and faxing documents; proctoring examinations; sending and receiving packages; addressing student questions; facilitating communication between the department and any involved parties and any other task needed to support faculty responsibilities.
Marginal Functions: All other duties as assigned in support of the mission and vision of the Department of Medical Science.
Qualifications:
Minimum Requirements: Administrative experience working with Canvas and Prism; competency with spreadsheets, Google Suite products, Prism, Qualtrics and ExamSoft.
