Mount Aloysius College, repeatedly recognized by ModernThink as a “Great College to Work For,” invites applications for a full-time Administrative Assistant for the School of Health Sciences. The Administrative Assistant provides direct administrative support to the Dean of the School of Business, Arts, and Sciences & Health Sciences, as well as additional support for Department Chairs and Division Faculty.
The Administrative Assistant for the School of Health Sciences serves as the main point of contact for all programs within the School of Health Sciences, which include Medical Imaging and Radiological Sciences, Physical Therapist Assistant, Science and Mathematics, Surgical Technology, and Ultrasonography. This position receives telephone and in-person inquiries and directs callers/visitors as appropriate. Responsible for the preparation of correspondence, reports, and other documents, including official student notices, meeting minutes, programmatic accreditation preparation, etc. Responsible for accurate data coordination and data entry for the School of Health Sciences; maintains electronic records of important documents in a neat and organized manner. Coordinates timely management, completion and renewal of affiliation agreements with local healthcare organizations and other agencies; schedules meetings as directed; proctors make-up and licensing exams on an as-needed basis. The Administrative Assistant also assists with preparation and implementation of various events hosted by the School of Health Sciences each year.
Qualifications
Associate Degree in secretarial/office administration or equivalent required. Three (3) years of administrative/secretarial support experience required. Professional work experience in the higher education setting is a plus. A strong customer service focus is required, with the ability to effectively relay information via telephone and email communications. Excellent oral and written communication skills are expected, as well as computer skills, including the ability to learn and effectively utilize the Jenzabar system. Proficiency in Microsoft Word and Excel required; advanced skill in creating Excel spreadsheets also required. Must be able to work under minimal supervision and demonstrate ability to prioritize, develop and manage workflow processes, and complete responsibilities in an organized and timely manner. High degree of professionalism and a demonstrated ability to maintain high ethical standards and confidentiality is required.
This is a full-time, 12-month, benefit-eligible position. While some flexibility in scheduling and the opportunity for periodic remote days exists, this position is on campus in Cresson, PA, and is not eligible for remote work. This role is not budgeted for visa sponsorship at this time; all candidates must be authorized to work in the US at the time of submission of their application.
